Registration

In order to participate in the ‘Knowledge Mine’ editathon and/or accompanying events, you must complete two steps:
- fill out the registration form by 22 August 2025
- pay the accommodation fee by 22 August 2025 (only if you wish to stay at a hotel)
Optional accommodation payment details
- After completing the form, if you wish to stay at a hotel, you must pay a fee of PLN 100.
- If you select the option of staying in a single room, you must pay a fixed fee (PLN 100), and after receiving confirmation by email from the organiser, you must pay an additional PLN 200 for the single room.

The additional payment for accommodation is not a donation and cannot be deducted from your income. When making a transfer, please pay attention to the account number. The account for additional accommodation payments has a different number (...0003) than our main account, to which you can make donations and membership fees (...0001). |

Scholarship programme
The Wikimedia Polska Association offers a scholarship programme. Under the programme, you can apply for:
- exemption from accommodation fees
- coverage of travel expenses
Who can apply?
The scholarship programme is intended for people who, for valid reasons, are unable to cover the cost of accommodation or travel to the event themselves. The Scholarship Committee may award full or partial funding. An accepted application is the only formal way to receive a refund of travel expenses.
How to apply and who will make the decision?
Applications must be submitted via form by 14 August 2025 . In your request, please provide your Wikipedia account name and explain why you are requesting this. We will also ask what kind of support you need.
The decision will be made by the Scholarship Committee composed of:
What will the process look like?
After your application has been approved:
- if the application included exemption from the accommodation fee, we will mark it as paid
- if the application included travel expenses, we will reimburse you for the travel costs incurred.
- Please note that, as a rule, we do not reimburse travel expenses incurred by car. Exceptions are made in particularly justified cases, such as the need to travel by car due to disability, health condition or lack of public transport.
- Once your application has been approved, the Association will reimburse the cost of tickets purchased for travel by train “”'in the IC category'“” '“'in second class” (“”'tickets for EIC and EIP trains'“” and any first class train category will not be accepted).
- If your application for reimbursement of travel expenses is approved, we will ask you to send the following information by email:
- Electronic ticket: Travel expenses to the Conference will be reimbursed only on the basis of a ticket invoice sent to kontakt@wikimedia.pl with the Association's details by the date of 17 October 2025. Invoice details: Stowarzyszenie Wikimedia Polska, al. Szucha 16/15. 00-580 Warszawa, Polska, NIP: 728-25-97-388 If you purchase a ticket via the intercity.pl platform, create an account and then go to the ‘My account’ page in the ‘My details’ tab and add the invoice details. The email should include:
- first and last name of the traveller,
- information about the event the ticket/refund is for,
- bank account number,
- amount to be refunded,
- ticket invoice.
- Traditional ticket purchased at the ticket office: After purchasing a traditional ticket, send an email to kontakt@wikimedia.pl by 17 October 2025 with a scan of the ticket and information about the event to which the email relates. There is no need to take the invoice for the purchase of a traditional ticket. The email should include:
- first and last name of the traveller
- information about the event the ticket/refund relates to
- bank account number
- amount to be refunded
- scan of the traditional ticket

If, after your application has been approved, you are unable to purchase tickets with your own funds, please send a brief message to wsparcie@wikimedia.pl by 12 September 2025. You will receive instructions on how to fill in the ticket purchase form provided by the Association.
